Instruction for Presenters

Slides

  • We strongly recommend that your slides have a 16:9 aspect ratio.
  • A laptop with the most up-to-date version of PowerPoint on Microsoft 365 will be available.
  • If you wish to use your own laptop, please confirm with the AV team in advance and arrive early for setup. Please still upload your talks as a backup even if you are presenting from your laptop.
  • If your presentation includes embedded video or audio content, please supply these files separately (in addition to the presentation) as a back-up option.
  • Your slides should be either PowerPoint (.pptx), PDF format or HTML format. If you have a HTML slide, please upload as a zip folder with all files needed to load the slide, or provide a text file with the URL link to the slide (former preferred).

Contributed speakers

  • Each speakers has 20 minutes for presentation including Q&A and changeover time. Aim the talk to be 15-17 minutes.
  • The session chair should signal at 14 minutes and then at 17 minutes. At the last signal, the speaker should stop or wrap up quickly.

  • Please upload files for your contributed talk here.
  • Please rename your filename before uploading so that it is prefixed with “S” followed by your session id and speaker order. E.g. if you are the third speaker in Session 1A, then your filename should be “S1A3.pdf” (if PDF). If you have multiple files, you may append with some unique name to differentiate between your files.
  • To find the session id for your talk, see the conference program here.
  • If you do not want to give us permission to make your slides available on the conference website, please append your filename with “DONOTUPLOAD” (all capital).
  • When you upload your files, you will be asked to enter your name and email. Your filenames will be automatically be appended with your name and a timestamp.

Invited speakers

  • Invited sessions are a total of 90 minutes and are entirely left to the discretion of the invited session organiser. Please contact your session organiser for instructions.

Keynote speakers

  • The chair will introduce the keynote speaker.
  • The talk is expected to be about 40 minutes with 5-10 minutes of Q&A.
  • The chair should signal at 35 minutes and then at 40 minutes. At the last signal, the speaker should stop or wrap up quickly.

Poster presenters

  • Poster session is on Tue 25th Nov 2025 5-7PM at the Gallery.
  • The dimension of the poster board is 2100mm H x 1000mm W.
  • We recommend A0 portrait orientation 1189mm H x 841mm W.
  • Mount your poster before Tue 25th Nov 2025 5PM (Gallery access available from Tue 25th Nov 2025 9AM).
  • Remove it before Friday 28th Nov 12PM.
  • Velcro will be provided at the registration desk.
  • Be available at your poster during the poster session to engage with attendees.
  • You will be given the opportunity to give a lightening talk (aim for approximately 1 minute) with a microphone by your poster during the poster session.
Uploading Materials

By uploading your posters here, you are granting us permission to make your poster available on the website. This gives you opportunity for more exposure for your work. If you do not wish to give permission, you do not need to upload your files.
